Class Folder (located in G-drive)
Each semester has its own digital folder usually located under the name of the GED Facilitator assigned to the class.
The class digital folder contains:
• Student sign in sheet
• Students pre and post scores spreadsheet
• Essay score spreadsheet
This folder helps to keep track of the class performance
Class Binder
The class binder keeps the needed paperwork and homework in order. It is organized and cleaned out at the end and beginning of each semester.
The binder contains:
• Binder paper
• Sign in sheets
• Attendance
• Book Receipt
• Instructors lesson plan
• Blank answer sheets for pretesting
• Students original pretesting answer sheet
o To be used for the Social Studies and Science pretest
o Once all of the five pretest are taken there is an evaluation to be done and the results are then entered to Service Track under User Define
• Copy of the pre and post test scores
o Create the spreadsheet before the semester starts using the Pretest scores for math and reading
o Every time the spreadsheet is updated a copy is e-mailed to the instructor
• Paper to be graded
o Essays are graded and the results are reviewed with the student individual in a one on one meet
Start of Semester
At the start of every semester the GED facilitator that will be working with the class is responsible for gathering and completing the following tasks:
• Have all material needed per the instructors request
o Meet with instructor prior to the start of semester to know what materials will be needed
• Gather all of the intake folders for the class to complete the intake process
o Go over the HEP contract and obtain any missing signatures with the students
• Obtain a list of the new HEP enrolled students to create the sign in sheet
• Students need to fill out the book receipt indicating what books and materials they received
Class duties
• Verify that all students sign in
o The sign in sheet is placed in the binder at the end of class
• Collect homework
o A spreadsheet of homework completed needs to be created every semester
• When students are ready to take exam vouchers need to be completed
• Accompany students to register for testing and to take attendance
o During this time students get help filling out registration forms
• At the end of the semester have a Staff member other than those working for the class give at the end of every semester survey that can be found in the G-drive
o Surveys are collected and then given to the student worker so that the survey summary can be corrected and translate what needs to be translated
Attendance
A spread sheet is created to keep track of the student’s attendance. It is then saved and can be found in the:
• HEP folder→2011-2016→HEP Attendance→ Divided by Grant Year
The attendance binder is divided by grant years, and there is a divider for each individual class. In this binder the attendance sign in, which has been entered in to the spreadsheet and service track, can be found. If attendance is not found in the binder it means that it has not been entered; therefore, it can be found in the individual class binders. At the end of every semester all attendance hours are calculated showing how many hours each student attended per month as well as per semester. Copies must be placed in the Attendance Binder in front of the sign in sheet. At the end of the Grant year the binder is reviewed and closed. After the binder is closed a new one will be prepared for the following grant year.
