Make A Reservation

  1. Objective

Assisting guests with restaurant reservations to guarantee seating according to their needs by gathering specific and necessary information from the guest.

  1. Scope

These policies apply to the entire Food & Beverage Service associates of Rixos Gulf Doha.

  1. Responsibilities

All Food and Beverage Team members. Outlet Managers, Asst. OM, Supervisor and Team Leader is responsible for ensuring the implementation of the same with Direction of Food and Beverage Director  

  1. Process
  1. If reservation is made by the phone, answer the phone in the first three rings. Use the following phraseology while smiling:
  1.  Greeting (Good morning/ afternoon/ evening).
  2.  “Thank you for calling to (restaurant name)”
  3.  “My name is …, how can I assist you?
  1. If reservation is made in person,
  1.  Acknowledge guest within 30 seconds of arriving the restaurant by establishing friendly eye contact and projecting a smile.
  2.  Step aside from the podium and avoid any obstacle between you and the guest.
  3.  Once guest is in a reasonable distance (1 m), greet by showing genuine interest with the following phraseology:
  1.  Greeting (Good morning/ afternoon/ evening), “Mr”, “Ms” (add last name if guest is repetitive).
  2.  “Welcome to (restaurant name)”.
  3.  “How may I assist you?”
  1.  Gladly accept making a reservation for the guest and proceed to gather the following data in order:
  1.  Name of the guest (from now on, use guest’s last name when possible, without over using it).
  2.  Date and hour for the reservation
  3. Number of guests in the party.
  1. If no space available, let the guest know in this moment and offer an alternative.
  1.  Ask for allergies or food restrictions.
  2.  Ask for special occasion.
  1. Confirm reservation by repeating all the information to the guest.
  2. Let the guest know the reservation will be held for 15 minutes past the reservation time. Provide any additional relevant information such as dress code.
  3. Thank the guest and kindly farewell.
