FTP/CMR Art processing

NYPS FTP/CMR Art Inbox Process

NYPS FTP process will be worked and arts reconcile in the Night Shift. Process is described as follows:

FTP/CMR Art processing:

1. Process all AWTs

2. Move all AWT’s to Cmrart-Legacy

3. Unzip all files

AWT Sorting:

 On Daily basis Berry DR NYPS Night Shift will sort all received files (EPS and PDF).

 User will sort by opening all PDF files labeled with AWT.

 User will use the Master Schedule to determine which publication system the AWT belongs. He/She will filter by: Directory Name and Number to determine this information.

 Berry DR will move PDF file labeled with AWT to Cmrart-legacy folder.

 Once the PDF file is completed Berry DR Can’t delete the AWT/ PDF file from Cmrart

 Dayton will retrieve AWT from Cmrart-legacy folder

 Dayton will then retrieve the art file from Cmrart, moving the file to Dayton server

 Berry DR will ensure that all AWTs Core and Legacy are removed from the FTP site daily.

 Berry DR will ensure to move all AWT/ PDF/EPS from FTP site to Art Log Folder Daily. (Located in Shared folder).

 Berry DR will log all Art ID’s from LEGACY/CORE directories in an Excel Sheet located in the berry portal (link below). All these done in a daily manner, specified by:

o Directory number

o CMR number

o Client number

o Art ID

NOTES:

 DO NOT RENAME FILES - All file names are to reflect the External Art ID (NYPS Art ID as appears on National Order)

 All files with AWT in the file name must be processed (sorted) daily at defined time

 Legacy Artwork will be moved by Dayton from Cmrart to Dayton server daily upon processing of AWT from cmrart-legacy

 Only, Core FTP artwork is to be maintained on the FTP site

 Zipped files are to be unzipped daily and zipped file deleted

 DELETE ONLY AWT files once processed all other files, must remain and will be processed via

o Dayton for legacy

o NART batch job for Core

CMRART FTP – Managing Folder

The CMRART folder is located in the FTP Site in the S: Drive. Address to this folder is specified below:

Folder is presented as follow:

The FTP Folder has to be Manage as follow:

All arts are received in the CMRART folder ( ). This folder has to be organized as follow:

A Sub folder has to be created daily and saved with the current date in the FTP (CORE and Legacy).

 I.E. Folder saved: 1-15-2013

This folder will include all Art received for the specific date.

Folders will be classified Daily, Monthly and by Year. At the end of each month, a folder should be created specifying the Month and daily folders must be added to the monthly folder.
